ATS Integration

Keep Async Interviews Inside Your ATS Workflow

StormInterview Editorial3 min readOctober 23, 2026

Key takeaways

  • A silo shows up when recruiters copy status or feedback between systems.
  • Map each handoff and name the system that owns the record.
  • Link to the recording instead of duplicating the file unless reviewers need it in the ATS.

This is what StormInterview does. Async video interviews, AI cheating detection, structured scoring. One link to a candidate, done.

What a silo looks like in daily work

A silo is not defined by the number of tools a team uses. It shows up in small manual steps. A recruiter opens the interview tool to check whether a candidate submitted an answer, then updates the ATS by hand. A hiring manager writes a decision in a message because the ATS does not show the review result. A coordinator copies a link into a note.

Those steps are easy to miss because each one takes a moment. Together they create two versions of the process, and the team starts to disagree about which version is current.

Map the handoffs, not the features

List the moments when information moves from one system to the other. Start with the invitation and end with the decision. For each moment, write the record, the field, the owner and the action a person takes if the handoff fails.

  • The ATS creates or selects the candidate and the application.
  • The interview tool sends the invitation and records the response.
  • A reviewer opens the recording and leaves feedback.
  • The team records a decision.
  • The ATS receives the decision and the stage change.

This list is the integration. If a step has no owner, it will be handled by whoever notices the problem first, which is not a process.

Choose where the record lives

Treat the ATS as the record for the candidate, the application and the hiring stage. The interview tool is the record for the invitation, the recording and the review notes. Decide that split and keep it stable. A field that both systems edit will drift.

When a recruiter needs information from both sides, show it in one place. A link from the ATS to the interview record is enough when the reviewer can open it with the right access. The reverse link helps the interview tool show the current stage.

Link the recording instead of copying it

A video file is heavy and rarely belongs in the ATS. Send a link, a review status and a short summary instead. Keep the recording in the tool that stores and plays it. If the ATS must keep a copy, define who maintains that copy and when it is deleted.

Do the same for transcripts and notes. A single source prevents a reviewer from reading an old version while the current version lives somewhere else.

Keep stage names and permissions aligned

Stage names are part of the integration. Use the same list in both systems and choose one owner for changes. When a team adds a stage, update the mapping in the same change. A stage that exists on one side only will produce records that look stuck.

Permissions matter as well. A hiring manager who can open the recording in the interview tool but cannot see the candidate in the ATS will ask a recruiter for a screenshot. Align the roles so the people who review also see the record they need.

Run a handoff check

Choose a recent candidate and compare the stage, review status and decision in both systems. Ask the recruiter whether they copied any value by hand. If they did, that is the next handoff to fix.

Repeat the check after a process change, a new stage or a new template. Keep the handoff map next to the integration settings so the team can see what is supposed to happen. A clear map turns a silo into a known boundary, and a known boundary is easier to manage.

Frequently asked questions

Is a standalone interview tool always a problem?

No. It becomes a problem when the ATS cannot see the interview status or the decision. If reviewers work in the interview tool and the ATS receives the outcome, the split can be deliberate and clear.

What is the first handoff to fix?

The candidate and application record. If that link is wrong, every later status lands on the wrong person or the wrong vacancy.

How do we know the integration is healthy?

Pick a recent candidate and compare the stage, review status and decision in both systems. If a recruiter had to copy any of those values by hand, the handoff still needs work.
